The short version
- These terms apply when you take part in a recognition, incentive, loyalty, claims, cashback or referral program that runs on the RewardCo platform.
- Your program is owned by an organisation, such as your employer, a supplier you sell for, or a brand running a promotion. That organisation sets the rules: who can join, how you earn points, what rewards you can choose and when the program ends. Your program's own rules sit on top of these terms.
- If you are claiming in a consumer promotion (for example, cashback for buying a product), the promotion terms for that promotion govern. These terms fill any gaps.
- Points are not money. You can use them only in the ways your program allows.
- Claims must be genuine and backed by the evidence your program asks for, such as a receipt or invoice. Claims are checked, duplicates are flagged, and claims that break the rules can be rejected.
- Rewards can include items from a catalogue, digital gift cards and payouts to your bank account. Gift card suppliers and our payment provider have their own terms.
- Rewards may have tax consequences for you. You are responsible for your own tax.
- Your rights under the Australian Consumer Law, and similar laws where you live, are not affected by these terms.
This summary helps you find your way. The full text below is what applies.
1.About these terms
These terms apply to every Participant in a Program that runs on the RewardCo platform, unless the Organisation has agreed different terms with you that say they replace these terms.
Each Program has its own Program Rules, set by the Organisation. Program Rules can say who is eligible, how Points are earned, what Claims need, which Rewards are on offer, whether Points expire, and when the Program ends.
If these terms and the Program Rules differ, the Program Rules apply for that Program. If the Program is a consumer promotion with Promotion Terms, the Promotion Terms apply over both these terms and the Program Rules (see section 8).
You accept these terms by taking part in a Program, for example when you sign in to a Program Site, lodge a Claim or redeem a Reward.
Nothing in these terms excludes, restricts or changes any right or remedy you have under the Australian Consumer Law or any other law that cannot be excluded by contract.
2.Definitions
In these terms:
- Agency means a business that offers RewardCo Programs to its own clients under its own brand (white-label). Some Programs are provided to an Organisation through an Agency.
- Claim means a request for Points or a Payout based on something you did, such as a sale, a purchase or a referral, usually with Evidence.
- Evidence means the proof a Claim needs, such as a receipt, invoice, delivery note, serial number or photo, as the Program Rules say.
- Gift Card means a digital gift card, voucher, e-wallet credit or similar code that can be spent with a retailer or service provider.
- Managed Program means a Program that RewardCo runs for the Organisation. In a Managed Program, RewardCo checks Claims against the Program Rules, pays out Rewards, helps Participants and reports to the Organisation.
- Organisation means the business or other body that owns your Program and decides its rules. In a consumer promotion, the Organisation is the promoter.
- Participant, you and your mean a person who takes part in a Program.
- Payout means a payment of money to a bank account in your name.
- Points means the units recorded in your Program wallet. A Program may use another name for them.
- Program means a recognition, incentive, loyalty, claims, cashback, referral or similar program that runs on the RewardCo platform.
- Program Rules means the rules, terms, FAQs and other conditions that an Organisation publishes for its Program.
- Program Site means the website where you take part in the Program. It usually carries the Organisation's or an Agency's brand and web address.
- Promotion Terms means the terms and conditions of a particular consumer promotion.
- Reward means anything you receive from a Program, including Points, catalogue items, Gift Cards and Payouts.
- RewardCo, we, us and our mean Rewardco International Pty Ltd (ABN 84 169 704 938).
- Self-run Program means a Program that the Organisation's own administrators run on the RewardCo platform.
- Supplier means a business that delivers a Reward for us, such as a Gift Card provider or our payment provider. Our Suppliers are listed on our Suppliers page (/legal/suppliers/).
3.Who runs your program
The Organisation owns the Program. It decides the Program Rules, funds the Rewards and decides who can take part. If you are an employee, the Organisation is usually your employer.
RewardCo provides the platform the Program runs on. In a Managed Program, RewardCo also checks Claims, pays out Rewards and answers Participants' questions, following the Program Rules set by the Organisation. In a Self-run Program, the Organisation's administrators do those things, and RewardCo provides the platform and supports the Organisation.
An Agency may provide the Program to the Organisation and may have arranged its branding. An Agency sees only the Program information that the Organisation has chosen to share with it.
Your Program Site and Program emails show a contact email address for help. In most Programs this is the Organisation's own contact. In a Managed Program, it is RewardCo's support address. If you are not sure, contact us at hello@rewardco.com and we will point you to the right person.
4.Joining and your account
Eligibility. The Program Rules say who can join. For example, a Program may be open only to employees of the Organisation, staff of approved dealers or resellers, or residents of particular countries who buy a qualifying product. You must be at least 18 years old. The Program Rules may set a higher minimum age.
One account each. You may have only one account in each Program, unless the Program Rules allow more. Your account is personal to you. You must not share it or let anyone else use it.
Signing in. You may sign in with an email address and password, or, where the Organisation has set it up, with your work Microsoft account through Microsoft Entra ID (Azure AD). If you sign in with your work account, the Organisation controls that account and may end your access to the Program when you leave.
Keep your details accurate. You must give accurate information and keep it up to date, including your name, email address, delivery address and bank details. We and the Organisation are not responsible for a Reward that is lost, misdirected or paid to the wrong account because your details were wrong or out of date.
Keep your account secure. Keep your password private. Tell the Organisation or us straight away if you think someone else has used your account.
5.Earning points
You earn Points in the ways the Program Rules describe. Depending on the Program, these can include:
- points awarded by managers or peers to recognise your work;
- reaching targets or KPIs;
- nominations and awards;
- service milestones and other occasions;
- attending events;
- completing surveys, quizzes or challenges;
- referrals (see section 9);
- approved Claims for sales or purchases (see section 6); and
- points sent from the Organisation's own systems, such as sales or payroll data.
Points may show as pending until they are approved or confirmed. Pending Points cannot be redeemed.
The Organisation decides how many Points each activity is worth, and may set limits, such as a maximum number of Points per person or per period.
Points awarded by mistake, for example through a system error, a data error, a duplicate entry or an award that breaks the Program Rules, may be reversed. If the Points have already been redeemed, see section 7.4.
6.Claims
What a Claim needs. Some Programs let you lodge a Claim for Points or a Payout. A Claim must:
- relate to a genuine sale, purchase or other activity that the Program Rules cover;
- be your own activity, or one you are authorised to claim for;
- include the Evidence the Program Rules ask for, such as a receipt or invoice that clearly shows the product, quantity, date and seller; and
- be lodged within the claim period the Program Rules set.
Evidence. Evidence must be genuine, complete and unaltered. You may be asked for more information, such as the original document, a serial number or a photo of the product. We or the Organisation may contact the seller or the Organisation's records to check a Claim.
Review. Each Claim is reviewed before it is approved. The Organisation decides, for each Program, how Claims are reviewed: by a person, by automatic checks against the Program Rules (for example of the product, date or amount), or both, and how long a review usually takes. In a Managed Program, RewardCo carries out the review the Program sets. In a Self-run Program, the Organisation does. See the Privacy Policy, section 9.
Duplicate Claims. You may claim each sale or purchase only once, unless the Program Rules say otherwise. The platform always flags Claims that appear to use the same Evidence, invoice number or product serial number as another Claim, and flagged Claims may be rejected.
7.Claim decisions, mistakes and fraud
Rejected Claims. A Claim may be rejected if, for example:
- it does not meet the Program Rules;
- the Evidence is missing, unreadable, incomplete or does not match the Claim;
- it duplicates another Claim;
- the sale or purchase was cancelled, refunded or returned; or
- you do not give further information we or the Organisation reasonably ask for.
We or the Organisation will tell you by email if a Claim is rejected. The email may give a reason, but it does not always. You cannot lodge a new Claim for the same invoice, so if you want a rejected Claim looked at again, ask for a review as section 7.2 describes.
Asking for a review. If you think a Claim decision is wrong, contact the Program's support contact within 30 days of the decision and explain why. The support contact can review the Claim and correct the decision. In a Managed Program, the Program Rules say whether RewardCo or the Organisation decides a review.
Fraud and misuse. If we or the Organisation reasonably believe that you have lodged a false Claim, altered Evidence, used more than one account, colluded with others to earn Points, or otherwise tried to obtain Rewards you are not entitled to, we or the Organisation may:
- reject the Claim and any related Claims;
- reverse Points that were obtained that way;
- suspend your account while we look into it;
- end your participation in the Program; and
- report the matter to the Organisation, your employer where relevant, or the police.
Recovering Rewards. If Points or a Payout were given to you by mistake or because of fraud, they may be reversed. If you have already redeemed the Points, their value may be deducted from your future Points. If a Payout was made to you by mistake or because of fraud, the Organisation may ask you to repay it, with our help in a Managed Program. Neither we nor the Organisation will deduct it from a future Payout without your written agreement.
8.Consumer claims and cashback promotions
Some Programs are promotions open to the public, where you buy a qualifying product and claim a Reward such as cashback, a Gift Card or a bonus item.
Promotion Terms govern. Each promotion has its own Promotion Terms, published by the Organisation as promoter. The Promotion Terms set out, for example, the qualifying products, the purchase and claim periods, the participating countries and retailers, the Evidence needed, any limit on Claims per person or household, and how and when Rewards are paid. If the Promotion Terms differ from these terms, the Promotion Terms apply.
The promoter. The Organisation is the promoter of its promotion and is responsible for it, including the Promotion Terms, funding the Rewards, and any permits, approvals or registrations the promotion needs in each country or state where it runs. RewardCo provides the claim platform and, where the Organisation has asked us to, checks Claims and pays out Rewards on the Organisation's behalf.
More than one country. A promotion may run in several countries, with different products, Rewards or currencies in each. The Promotion Terms for your country apply to you.
9.Referral programs
Some Programs reward you for referring a person or business, such as a new customer, partner or job candidate.
Before you refer someone, you must have their permission to give us their contact details, and you must tell them that the Organisation or RewardCo may contact them about the referral.
You must not send unsolicited bulk messages, make misleading statements about the Organisation or its products, or refer yourself, unless the Program Rules allow it.
A referral Reward is earned only when the conditions in the Program Rules are met, for example when the referred person signs up, makes a purchase or starts work.
10.Your points balance
Points are not money. Points have no cash value, are not your property, and cannot be sold, transferred, exchanged for cash or combined with another person's Points, unless the Program Rules allow it. Where a Program offers Payouts, you can turn Points into a Payout only in the way the Program Rules describe.
Points belong to one Program. Points earned in one Program cannot be used in another.
Checking your balance. You can see your Points balance and history on the Program Site. If you think your balance is wrong, tell the Program's support contact as soon as you can. We may ask for information to check it.
Funding. The Organisation funds the Rewards in its Program, through a balance paid to RewardCo in advance or through its own payment account. If the Organisation has not paid for Rewards, redemptions may be paused until it does. We will tell you if that happens. Points you have already earned are kept and stay visible in your account. If the Organisation's agreement with us ends while it has not paid, you will get the notice and redemption period in section 19.4, but RewardCo is not obliged to fund redemptions itself.
11.Points expiry
Points do not expire, unless the Program Rules for your Program say otherwise.
If an Organisation decides that Points in its Program will expire, the Program Rules must say how expiry works, and you will be given notice before expiry is introduced, as section 19.1 describes.
Expired Points cannot be restored, unless they expired because of an error.
Points expiry is separate from any expiry date on a Gift Card. Gift Card expiry is set by the Gift Card's issuer (see section 13).
12.Redeeming rewards
Depending on the Program, you may redeem Points for:
- digital Gift Cards;
- items in the Program's rewards catalogue, which may include physical items supplied by the Organisation (see section 15); or
- a Payout to your bank account.
Only you can redeem Points from your account. A redemption may need to be approved before it is fulfilled.
Availability. Rewards are subject to availability, and to any limits set by the Organisation or a Supplier. Prices in Points can change. If a Reward you chose becomes unavailable, we may offer one of similar value, or cancel the redemption and return the Points to your account. We will tell you which.
Delivery. See our Reward Delivery page for how and when each type of Reward is delivered.
Returns and refunds. See our Returns and Refunds Policy for what happens if a Reward is faulty, damaged, not delivered or not as described.
13.Digital gift cards
Gift Cards are supplied by third-party Suppliers, such as GiftPay (Australia, New Zealand, Singapore, the United Kingdom, the United States and Canada) and Gifted (the Philippines, including credit to a GCash wallet). Our Suppliers page (/legal/suppliers/) lists every current Supplier and links to its terms.
Supplier and issuer terms apply. Each Gift Card is subject to the terms of its Supplier and of the retailer or business that issues it, including where it can be used, any fees, and its expiry date. Read those terms before you use the Gift Card.
Treat Gift Cards like cash. Once a Gift Card has been delivered to you, keep its code safe. Neither we nor the Organisation can replace a Gift Card that is lost, stolen or used by someone else after delivery, unless the law requires it or the Supplier agrees.
If a Gift Card does not work. Tell the Program's support contact. We will work with the Supplier to fix it or replace it.
14.Payouts to your bank account
Some Programs pay cashback or other Rewards to a bank account. Payouts are made through our payment provider, Airwallex, to local bank accounts in many currencies. Depending on how the Program is set up, a Payout is sent either from RewardCo's Airwallex account, using money the Organisation has paid in advance, or from the Organisation's own Airwallex account connected to the platform.
Your bank details. You must give accurate bank details for an account in your own name, or in your business's name where the Program Rules allow. RewardCo stores your bank details encrypted and uses them only to make Payouts to you through Airwallex, which also receives them. We are not responsible for a Payout sent to the wrong account because of details you gave, and it may not be possible to recover it.
Checks. Our payment provider, Airwallex, checks your bank account details when a Payout is set up and sent, and runs its own screening, such as sanctions and fraud checks. It may ask for more information. We do not ask you for identity documents. When your bank details change, we tell you, so that you can act quickly if you did not make the change. A Payout may be delayed or refused if a check cannot be completed, or if the law requires it.
Currency. If your Payout is made in a different currency from the one the Reward is set in, it is converted at the rate our payment provider applies at the time. Our payment provider's transfer fees are paid as the Organisation's agreement with us sets out, and are not taken from your Payout. Your own bank may charge its own fees for receiving it.
Failed Payouts. If a Payout is returned or cannot be completed, we will tell you and ask for correct bank details. Once you update them, the Payout is sent again. If you do not give new details within 90 days, the Reward is cancelled: if you redeemed Points for it, the Points are returned to your account; otherwise, its value is returned to the Organisation, unless the Organisation's agreement with us says the Reward is cancelled in another way.
15.Physical items
RewardCo's own Rewards are digital. Some Programs also offer physical items. RewardCo does not supply them: the Organisation does, directly or through its own supplier, and the Organisation's or that supplier's terms apply to delivery, returns and warranties.
Your rights under the Australian Consumer Law, or similar laws where you live, apply against the business that supplied the item and cannot be excluded. If you cannot reach the Organisation about an item, email us and we will pass your request on.
16.Tax and other costs
Rewards may have tax consequences for you, depending on where you live and why you received the Reward. For example, cashback paid to a business may be income of that business, and rewards from an employer may have tax consequences for you or your employer. You are responsible for your own tax and for getting your own advice.
The Organisation is responsible for any tax that the law places on it as the provider of the Reward, such as an employer's fringe benefits tax.
We may need to collect or report information about Rewards where the law requires it.
Neither we nor the Organisation are responsible for costs you incur in taking part, such as internet charges, or bank fees for receiving a Payout, unless the Program Rules say otherwise.
17.How you must use the program
You must not:
- break the law, the Program Rules or these terms;
- post or send content that is offensive, discriminatory, harassing, defamatory or misleading, including in recognition messages, comments or surveys;
- share other people's personal information without their permission;
- try to get into another person's account or a part of the Program Site you are not allowed to use;
- interfere with the Program Site, or use automated tools to lodge Claims or collect information; or
- sell, trade or advertise Points or Rewards.
The Organisation may remove content you post, and may suspend or end your participation if you break these rules.
18.Your privacy
The Organisation and RewardCo both handle your personal information in the Program. The Organisation decides what information the Program uses and why. RewardCo handles it to provide the Program, mostly on the Organisation's behalf.
Our Privacy Policy explains what we collect, including Evidence you upload, and the bank and Gift Card details we need for Rewards, who we share it with, and your rights. The Organisation's own privacy policy also applies.
If your Program was provided through an Agency, the Agency sees only the Program information the Organisation has chosen to share with it.
19.Changes to a program, and when a program ends
Changes to a Program. The Organisation may change the Program Rules, the Rewards on offer, or the number of Points needed for a Reward. Where a change is likely to disadvantage you, such as a change to Points expiry, you will be given at least 30 days' notice through the Program Site or by email before it takes effect. The Organisation gives the notice, or we do in a Managed Program. A change does not take away Points you have already earned, unless the change is needed to comply with the law or to correct an error.
Changes to these terms. We may update these terms, for example to reflect changes to the platform, our Suppliers or the law. We will post the updated terms on this page with a new "Last updated" date. If a change materially affects your rights, we will also tell you through the Program Site or by email before it takes effect. If you do not agree to a change, you can stop taking part and redeem your available Points as described in section 19.4.
When you leave. If you stop being eligible, for example because you leave your employer or your dealership stops being an approved dealer, the Program Rules say what happens to your Points. Unless they say otherwise, you will have 30 days to redeem your available Points.
When a Program ends. The Organisation may end its Program. Unless the law or the Program Rules require otherwise, the Organisation or we will give you at least 30 days' notice, and at least 30 days to redeem your available Points before the Program closes. Points not redeemed by the closing date are cancelled.
Suspension or closure of your account. We or the Organisation may suspend or close your account if you break these terms or the Program Rules, as described in section 7.3, or if the law requires it.
20.Our liability to you
Your consumer rights. Rewards and services may come with guarantees under the Australian Consumer Law, the Consumer Guarantees Act 1993 (NZ) or similar laws where you live, that cannot be excluded. Nothing in these terms limits those rights.
Our responsibility. We are responsible for providing the platform with due care and skill, and, in a Managed Program, for carrying out the tasks we do for the Organisation with due care and skill. We are not responsible for:
- decisions the Organisation makes about its Program, such as its rules, who may take part, or whether to approve a Claim in a Self-run Program;
- the goods and services of Suppliers, retailers or the Organisation's own suppliers, beyond helping you to resolve a problem with them; or
- loss caused by information you gave that was wrong.
Limit. To the extent the law allows, and except where the consumer guarantees under the Australian Consumer Law apply, if we are liable to you for a problem with a Reward, our liability is limited to supplying the Reward again, giving you a replacement of similar value, or returning the Points you used for it. Where the law gives you the choice of remedy, you choose. This limit does not apply to liability that cannot lawfully be limited, or to loss caused by our fraud or wilful misconduct.
21.Questions and complaints
For questions about your Points, Claims or Rewards, contact the support contact on your Program Site first.
If you are not happy with the response, or you cannot find the right contact, email us at legal@rewardco.com. Tell us your name, your Program, and what happened. We will acknowledge your complaint and aim to respond within 10 business days.
For privacy complaints, see the Privacy Policy.
22.General
Governing law. These terms are governed by the laws of New South Wales, Australia. Each party submits to the non-exclusive jurisdiction of the courts of New South Wales. If you live outside Australia, this does not take away any protection given to you by the consumer laws of the country where you live.
Transfer. You may not transfer your account, Points or rights under these terms to anyone else. We may transfer our rights and obligations to another business that takes over the RewardCo platform or the Program, if we tell you and your rights are not reduced.
Severability. If any part of these terms is invalid or unenforceable, the rest of these terms still apply.
No waiver. If we do not enforce a right straight away, we can still enforce it later.
Notices. We may send notices to the email address in your profile or show them on the Program Site. You can send notices to legal@rewardco.com.
